Recording Visits - Bulk Bill
Record a patient visit that is to be bulk billed.
Procedure

Within the Waiting Room, select the patient's record, and either:
- Select Waiting Room > Record Visit.
- Press F5.
- Click Visit (F5).
- Right-click the patient's record and select Record Visit.

In the Record Visit window, if necessary:
- In the Seen by menu, select the consulting practitioner. A practitioner will already be selected if they were selected when the patient was scheduled via the Appointment Book or when you placed the patient into the Waiting Room.
- If the consulting practitioner is required to have a referral (as indicated in their practitioner details), click Referral, then select the referring practitioner for this patient.
- If the selected practitioner is set up as available in multiple locations, click Location, then select the location at which the consultation occurred.
- If necessary, set the date and time of the consultation in Consult
Time and Consult Date. By default, the
date/time is recorded as that when you opened the Record
Visit window. You can change this default to display the
date/time of the appointment by setting Use selected appointment
time when recording visit in the Patient
tab of Global Options. If
this option is set:
- The patient must not already be in the Waiting Room.
- Schedule the appointment for the patient, select the appointment, and press Ctrl + W to add the patient to the Waiting Room.
- If multiple patients are selected when recording visits, each patient's consultation time will be set to the time of their own appointment.
- If a patient is placed directly in Waiting Room, the default consultation time will be the current system time, regardless of whether the Use appointment times when recording visits option is set.
- From the Invoice To menu, select Bulk Bill.

Add or modify the Service Details.
- If the practitioner entered item numbers during the consultation, they will be displayed in the Service Details section.
- To find a service's item number, select File > Search Std Item List or press Ctrl+S to open a search window.
- Add service item text in the Text column for each item. Pracsoft provides some examples (approved by Medicare), and you can create your own.
- A maximum of 14 service items including incentive items can be billed simultaneously. If you need to record further items, initiate another visit for the patient.
- Move service items up or down the list with the Up and Down buttons as necessary to comply with Medicare's processing rules. Refer to Changing the Order of Service Items when Recording a Visit for more information.
- If the service was conducted in-hospital, set In Hospital. Select the Provider No (Facility ID).
- If the patient is to be removed from the Waiting Room, in Visit Options, set Remove from Waiting Room. The other options are not available for bulk billing.
- If you want to print a voucher, in Print Options, set Print Voucher. You might unset it if, for example, you need to edit the voucher or have already printed a voucher and are now billing the patient. Enter the number of copies you want to print.
- Click Voucher.
- If Online Patient Verification (OPV) is enabled and the patient's Medicare card details have not been recorded, enter their details now. If their Medicare card is available, swipe it now to automatically enter their card number.
